General Description

Provides administrative support to over thirty standing and special State Bar committees. The position involves frequent high-level contact with the SBOT President-elect, SBOT members, other departments, the public, and other individuals and organizations outside the State Bar.

Primary Functions

  1. Coordinates and negotiates with caterers, hotels, and other facilities.
  2. Serves as on-site staff support for various committees.
  3. Maintains database of minutes, reports, and other committee correspondence.
  4. Distributes meeting notices, agendas and other materials for committee meetings.
  5. Maintains committee rosters
  6. Handles routine correspondence and mailouts, including original compositions
  7. Coordinates mid-year and year-end reports on committee activities 
  8. Compiles statistical, financial and other information (including committee member attendance and expense records for reimbursement purposes).
  9. Prepares annual budget for department 
  10. Works closely with President-elect and division staff during the committee appointment process (including preparation of extensive notebook for the President-elect to use in making appointment decisions, and distribution of all appointment letters/forms).
  11. Coordinates an orientation for incoming chairs.
  12. Responsible for ordering supplies and coordinating printing requirements.
  13. Requires extensive phone contact with committee members, chairs, vice-chairs, staff liaisons, and other individuals interested in committees and seeking committee information
  14. Performs other related duties and projects as required.

 

Position Requirements

A minimum of three years of related work experience required. College degree required. Must be proficient in Microsoft Word, Excel, and database software. Must possess strong organizational and meeting planning skills, attention to detail and accounting/bookkeeping principles. Must be able to communicate effectively on the telephone, in person and in writing. Occasional travel required.
