General Description

The Texas Access to Justice Foundation awards annual grants to programs assisting disadvantaged Texans with civil legal matters.  The primary purpose of the Grants Administrative Assistant position is to provide day-to-day administrative support to the Director of Grants and other Program Officers.  The Grants Administrative Assistant administers grantee programmatic and fiscal activities related to multiple funds granted to non-profit legal services organizations throughout Texas and streamlines grant management utilizing the online grants system.  This position is responsible for the oversight and maintenance of accurate grant data for the Foundation. Other administrative duties include planning and logistics for all grant-related meetings.  Reports to Director of Grants. This position may be eligible for a hybrid work schedule after satisfactory employment. TAJF is an equal opportunity employer.

Primary Functions

  1. Administration of an online grants management system (WebGrants); including report generation, technical support, form creation, liaison with developers, and contact for grantees.
  2. Enters data and manages related reports in databases, Excel spreadsheets and other software programs as needed.
  3. Gathers and catalogues all grantee reports, including quarterly financial reports.
  4. Maintains up-to-date grant recipient files and contact information.
  5. Assists with reconciliation of quarterly financial data as reported by grantees and verifies funding amounts released to grant recipients.
  6. Tracks all grant-related deadlines and notifies grantees and other TAJF staff of pending deadlines.
  7. Ensures the accuracy of grant applications, self-assessment reports and other data entered in database.
  8. Responsible for updating forms and information for the online grants management system.
  9. Creates and runs statistical reports from data collected in the grants management database.
  10. Handles all logistical and clerical functions of the grant application process, board reports, grantee presentations, and grants-related meetings.
  11. Handles the logistical aspects of site visits; maintains the site visit schedule and provides proper notice to all parties of all site visit-related planning and logistical details.  
  12. Primary point of contact for grantees and capable of answering all routine questions.
  13. Provides administrative support to the Grants team including preparing travel reimbursements and tracking various staff calendars.
  14. Assists the Director of Grants with all grants-related functions as requested.
  15. Performs other related duties as requested by management.

Position Requirements

Graduation from standard high school or equivalent. Two years’ experience in office setting or undergraduate degree required. Experience in grant administration, project administration or finance is desirable. Proficiency in Excel, Word and Outlook; database management experience; accurate data reporting skills; report analysis and creation skills required. Must be a highly organized self-starter, detail-oriented and able to work under pressure managing multiple time-sensitive projects. Excellent verbal and written communications skills, including grammatical accuracy in all written and oral communications required.  Must have the ability to problem-solve and complete tasks in a timely and independent manner, work effectively with fellow employees and as part of a team. Previous experience with foundations is desirable.
