General Description

Processes and reviews cash receipts and credit card transactions, making deposits and transmitting credit card activity to the bank. Maintains the petty cash box.  Enters daily credit card transactions into the accounting system for departments throughout the State Bar.  Prepares journal entries and balance sheet reconciliations for non-complex accounts.  Provides a variety of administrative support services for the Chief Financial Officer and general office support to the Accounting department. 

Primary Functions

  1. Prepares deposits to send to the bank and assists in reconciling cash and deposits to the bank statement.
  2. Processes over-the-counter credit card transactions and electronically transmits all credit card activity to bank; tracks monthly credit card activity.
  3. Maintains and balances the petty cash box for the State Bar.
  4. Sorts and distributes any mail delivered to the Accounting Department. Prepares accounts receivable deposit.
  5. Posts deposits to the accounting information system, including credit card, lockbox and other deposits.
  6. Prepares journal entries and account reconciliations for non-complex accounts. Produce various month-end reports.
  7. Assists the Chief Financial Officer with various administrative tasks as requested.  Tasks may include taking messages, processing mail, copying, arranging travel and meeting rooms and processing reimbursement requests.
  8. Maintains office supply inventory for the Accounting department and procures supplies and related materials as needed. Maintains SafeSite storage inventory.
  9. Provides data entry and data preparation for other areas within the Accounting Department, such as assistance to Accounts Payable for invoice preparation.
  10. Processes correspondence relating to return checks.
  11. Assists with filing, copying and faxing when needed.
  12. Performs other related duties as assigned.

Position Requirements

High school education or equivalent plus a minimum of one year of related work experience required.  Requires knowledge of personal computers, word processing software, excel, and general office machines. Knowledge of bookkeeping concepts and accounting systems is preferred.  Must be detail-oriented, organized, and able to communicate effectively in both verbal and written forms.
