General Description

This one-person accounting department position performs a wide variety of accounting and financial administrative functions including general ledger and fund accounting, preparation and processing all accounts payable and accounts receivables, banking and other accounting transactions, investment accounting, accruals and deferrals, journal entries, balance sheet reconciliations, grants administration, donations tracking and general accounting work. This position also performs financial desk reviews of grantees.

Primary Functions

 

PRIMARY FUNCTIONS:

 

  • Performs a variety of accounting and finance functions:

 

  • Prepare, determine appropriate coding and process recording of financial transactions to ensure accrual basis financial statements are in accordance with Generally Accepted Accounting Principles.
  • Maintain and reconcile monthly complete and accurate general ledger and related detailed sub-ledgers, including investments, CD’s, programs and grants as well as all restricted, committed, unassigned and other individual fund sub-accounts.
  • Prepare, enter, process, and oversee all A/P, A/R, cash receipts, cash disbursements, general journals, bank payment transactions and all other financial data entry, ensuring recordation in the period incurred, regardless of when paid.
  • Prepare, enter, and maintain fund program revenues and related grants expense and fund accounts by individual grant program.
  • Book monthly accruals and journal entries, including Right of Use asset amortization, lease obligations, reconcile to rent expense and investment activities including calculating accruals for interest income, bond amortization and fair market value adjustments.
  • Prepare grant release requests and input bank disbursements for approval.
  • Assist compilation of time sheets and cost tracking for grant administration reimbursements.
  • Prepare, update, and maintain monthly trial balances worksheets.
  • Observe receipt of and opening of mail deposits and journal checks received to reconcile with remote deposit ledger.
  • Performs other functions as required.

 

  • Performs intermediate-level financial exam work by leading and performing 10-15 grantee fiscal desk reviews each year:

 

  • Independently conduct desk review and identify and document issues and findings.
  • Understand Grant Guidelines and Requirements, Compliance and Monitoring Procedures and related Auditing and Reporting requirements.
  • Examine records to verify grant rule and statutory compliance, including timekeeping, payroll, grant receipts and disbursements.
  • Examine grantee audit reports and document any auditor findings.
  • Checklist grantee operations and systems for compliance with grant regulations.
  • Prepare Fiscal Desk Review reports and present findings to grantees.

 

 

 

Position Requirements

 

  • Four-year business degree from accredited university, accounting major preferred.
  • At least two years’ experience in a professional, small office environment performing multiple finance related functions, including double-entry, accrual accounting, transaction processing, Excel worksheets, reconciliations, month end close. Public accounting or auditing experience a plus.
  • Attention to detail and accuracy critical to success, efficiently producing quality work required.
  • Strong proficiency in Microsoft Office products required, particularly Excel.
  • Experience with bank and investment accounts, A/P and A/R accounting processes required.
  • Experience with accounting software systems required.
  • Ability to research for missing or incomplete information to determine details of transactions and gather, assemble, correlate, and analyze facts.
  • Be dependable, meet deadlines and produce high-quality work.
  • Knowledge of accounting processes and workflows required; experience in nonprofit, fund balance accounting and grant accounting/compliance preferred.
  • Audit experience, including independent examination and analysis of internal controls, accounting systems and audit reports a plus.
  • Excellent communication skills, both orally and written to convey knowledge, findings, reports, and issues with a wide audience, including financial experts, staff, grantees, individual grant applicants and others. Ability to explain desk review results to non-financial audiences.
