General Description

The position provides operational oversight of the Bar Foundation, develops systems and processes and ensures the functionality of donor records and financial records, as well as serving as a key liaison with the board of trustees. It is a small-shop environment and there are limited support staff. Involves frequent telephone/web/and email contact with judges, attorneys, donors, grant seekers and the public.

Primary Functions

1. Anticipates Bar Foundation needs, providing the highest level of proactive support. Applies strategic thinking to support the grant-making mission, fundraising, and the board.
2. Organizes and schedules quarterly board meetings. Arranges for all logistical details of event set up, hotel rooms and board dinners. Records and produces board meeting minutes. Maintains official minutes and permanent files.
3. Liaison for board trustees for travel, meeting attendance and reimbursements. Assists with board committees and conference call set up.
4. Manages donor database, designs queries and reports. Updates Executive Director and staff on the use of membership database, including Blackbaud RENXT, RaisersEdge and NetCommunity.
5. Independently monitors recurring tasks via monthly activity logs. Notifies staff of upcoming issues and status of current monthly activity. Applies business thinking to improve processes and streamline activities.
6. Provides financial management using QuickBooks. Process, code and batch contributions, reviews financial statements and annual budget prepared by Executive Director, performs monthly reconciliation for checking account, and other accounts as needed.
7. Resolves a variety of complex requests and balances the needs of the Executive Director, Development Director and the Grant Manager.
8. Coordinates office activities and operations to secure efficiency and compliance to organization policies. Serves as organization liaison for outside vendors.
9. Assists with communications and social media, including eblasts, press releases, website, newsletters, impact report and solicitation. Ensures accuracy before communications are sent and contributes to all communications efforts.
10. Other duties as assigned. Aligns work duties with the Bar Foundation mission and exemplifies Bar Foundation’s values and culture of teamwork.

Position Requirements

Bachelor's degree from an accredited college or university required. One-year professional experience using QuickBooks preferred. Knowledge of Blackbaud RENXT preferred. Requires excellent communication, organization skills, and attention to detail. and discretion. Proficiency with Microsoft applications, database management, and spreadsheet software, with ability to construct reports. Prefer professional experience in a nonprofit or voluntary bar association setting. Ability to work with a diverse group of volunteers, staff, and vendors in a timely and professional manner. Experience managing client/customer relationships.
