General Description

The Texas Access to Justice Foundation (TAJF) was created by the Supreme Court of Texas to fund legal civil legal services.  The executive assistant performs highly advanced, senior-level professional administrative assistance to the Executive Director and Director of Administration and Communications.  The work involves coordinating and performing internal administrative operations; as well as administrative support for the Foundation’s Board of Directors.

Primary Functions

  1. Provides highly advanced administrative support to the Executive Director and Director of Administration and Communications. 
  2. Coordinates and schedules meetings, develops itineraries and prepares materials for TAJF board and committees; solicits scheduling preferences; sends meeting notices; arranges lodging and meals for meetings.
  3. Serves as primary contact person for the public seeking information via phone, email and written correspondence.
  4. Prepares meeting agendas, board meeting materials and minutes; may attend board meetings in person or virtually. 
  5. Responsible for travel arrangements, itineraries, receipt tracking, and reimbursements for the Executive Director, board members and other staff. 
  6. Coordinates, tracks and monitors resource development efforts and donor management; maintains records, database information, spreadsheets, gift acknowledgements, and prepares related correspondence and reports.
  7. Assists with events; including managing on-site duties, mailings, logistics and coordinating with vendors, planners and staff.
  8. Drafts correspondence and prepares reports and presentations for the Executive Director and Director of Administration and Communications as needed.
  9. Maintains office inventory and tracking, orders office supplies, coordinates and submits requests for building, parking and technology needs, and performs miscellaneous office errands.
  10. Coordinates administrative duties for general office operations, such as processing mail, making bank deposits, telephone operations typing, filing, scanning, faxing, and other essential functions.
  11. Assists Director of Administration and Communications in publicity, resource development, and outreach efforts.
  12. Conducts special research projects for board and staff.
  13. Performs other responsibilities as needed.

Position Requirements

Graduation from standard high school or equivalent.  Substantial experience in providing administrative support to professional and senior level staff in an office setting. Excellent communication, organizational and multi-tasking skills.  Ability to problem solve and complete tasks in a timely and independent manner is required.  Excellent computer skills: proficient in Microsoft Word, Excel, Outlook, Teams and Zoom.  Must be professional, well organized, a self-starter, detail-oriented, and possess excellent writing and proofing skills.
