General Description

Provides a variety of legal and administrative support services in the administration of the attorney grievance and discipline process.  This position involves frequent contact with other departments and committees of the State Bar of Texas, attorneys, complainants, respondents and other outside agencies and organizations.

Primary Functions

  1. Responsible for timely transmittal of grievance files for classification dismissals appealed to the Board of Disciplinary Appeals (BODA), and data entry of BODA appeal results in the case management tracking database.
  2. Responsible for upkeep of the State Bar of Texas’ file retention schedule as it relates to department files sent to the external storage facility. Responsible for maintaining the database of all closed final judgment file inventory sent to off-site storage, file destruction schedules, and file retrieval from the external file storage facility.
  3. Composes responses to routine general correspondence received in the department, and routine requests for copies of disciplinary judgments.
  4. Serves as backup to Intake Legal Secretary team, responsible for accurate and timely data entry of incoming grievances and case status update information.
  5. Provides relief for receptionist as necessary.
  6. Performs other responsibilities and conducts special projects as required.

Position Requirements

High school diploma or equivalent required; some college-level courses preferred. A minimum of three years of related office experience preferred. Experienced in legal secretarial work helpful. Requires good communication and customer service skills. Ability to problem-solve and complete tasks in a timely and independent manner. Must be well organized, a self-starter, and detail oriented. Must be proficient in typing and have technological competency, including experience using Microsoft Word, Excel and Access; Adobe, Zoom, Microsoft Teams, Microsoft Outlook. Experience using case management software preferred. Ability to speak and translate Spanish helpful.
